The Office Administrator role is a key position within LIV Sotheby’s International Realty. This job sets the daily office tone and energy. The position entails coordinating all front desk responsibilities and listing input while exemplifying a high level of customer service, Managing Broker and agent support, office presentation, marketing support, assistance with business planning, building culture and handling walk-in traffic year-round.

Job Specific Requirements

  • Prior real estate experience is a must - minimum of one(1) year experience
  • Real estate license is preferred, or willingness to obtain license
  • Must be able to work well in a fast-paced environment
  • Excellent interpersonal, verbal and written communication skills
  • Strong work ethic to handle multiple requests with exceptional follow through and time management
  • Team player with a positive, solution oriented and results driven attitude
  • Demonstrate desire to proactively help and serve agents and meet the needs of the office

  • Working knowledge of local multiple listing service(s)

Job Responsibilities include:

  • Administrative support for Managing Broker
  • Support and provide all on-boarding and orientation services
  • Assist Managing Brokers with ongoing business planning with sales associates, including pulling reports and scheduling meetings
  • Understand and have access to monthly floor schedule for sales associates
  • Enter and maintain office listings in MLS, DASH and other internal systems including any price reductions
  • Prepare LIV SIR approved packets including Listing Presentation(s)/Cloud CMA for sales associates in office, including packet printing and binding
  • Assist with printing property specific marketing materials including submission of new listings, new sales, price adjustments and media
  • In-house resource for all company utilized platforms: local MLS, in-house Marketing software, Access, LIV Media Portal, Office 365, Source, transaction management service, and multiple listing services as applicable by office
  • Responsible for sending, retrieving and distributing office mail (USPS, FedEx, UPS)
  • Assist in completing mail merge / mailings for sales associates
  • Point of contact for all sales associates and all office related issues/duties
  • Send weekly sales meeting report to Operations for training review

Compensation & Benefits

  • Salary Range dependent upon experience
  • In addition to base pay, LIV SIR provides employees with the opportunity to select coverage under a comprehensive benefits program including medical, dental, life, accidental death and dismemberment, short-term and long-term disability, 401(k) and other plans.
  • Full-Time employees are eligible for PTO in accordance with our Paid Time Off Policy.
  • Hours are 8:30 - 5:00PM, 5 days per week including weekends and weekdays.
